Executive Administrator
Our corporate client is a small, highly regarded and well-established professional services practice located in the Perth CBD. Wood Recruitment has partnered with them to recruit a full time permanent, Executive Administrator position. This is an exciting opportunity to work in a corporate office environment as part of a highly successful and inclusive team.
You will be responsible for managing a high level of administration, appointment setting, meeting and greeting clients. The ideal candidate will have demonstrated experience in a corporate office environment, strong Microsoft Office experience, typing and formatting skills.
What you'll be doing:
- Preparation of reports for clients
- Assisting with the preparation of tender documents, general letters and ad-hoc administration for all Partners
- Maintaining calendars, meeting and greeting clients
- Managing incoming correspondence individually and via the CRM system
- Prepare and manage meeting rooms & organise catering when needed
- Appointment setting and booking meetings
- Maintaining and updating of data base
- Filing (digital & paper)
- General office and kitchen upkeep
- Reception duties including answering calls and distributing messages, meeting & greeting visitors
- Assist with the creation and preparation of documents and company reports
- Use marketing tools to enhance the organisations brand
- Manage some social media activities
- Use of SurveyMonkey Board reports
What you'll need:
- Experience as an Executive Assistant/Executive Administrator/Administration Officer or similar role
- A strong customer service ethic (internally and externally)
- Understands the realities of working in a small professional office environment (MUST be prepared to be flexible in thinking, attitude and completion of daily tasks)
- Effective written and verbal communication skills
- Excellent telephone manner
- Uses initiative, suggest an improvement if something is not working
- Able to liaise professionally with senior executive people
- Experienced at planning and coordinating functions
- Demonstrated experience dealing sensitively with confidential issues
- Strong attention to detail and the ability to multitask and prioritise
- Ability to work independently and as part of a team environment
- Proficiency in Microsoft Office
- Self-motivated, energetic with a great “can do” attitude
