Executive Administrator

Our corporate client is a small, highly regarded and well-established professional services practice located in the Perth CBD. Wood Recruitment has partnered with them to recruit a full time permanent, Executive Administrator position. This is an exciting opportunity to work in a corporate office environment as part of a highly successful and inclusive team.

You will be responsible for managing a high level of administration, appointment setting, meeting and greeting clients. The ideal candidate will have demonstrated experience in a corporate office environment, strong Microsoft Office experience, typing and formatting skills.

 

What you'll be doing:

  • Preparation of reports for clients
  • Assisting with the preparation of tender documents, general letters and ad-hoc administration for all Partners
  • Maintaining calendars, meeting and greeting clients
  • Managing incoming correspondence individually and via the CRM system
  • Prepare and manage meeting rooms & organise catering when needed 
  • Appointment setting and booking meetings
  • Maintaining and updating of data base
  • Filing (digital & paper)
  • General office and kitchen upkeep
  • Reception duties including answering calls and distributing messages, meeting & greeting visitors
  • Assist with the creation and preparation of documents and company reports
  • Use marketing tools to enhance the organisations brand
  • Manage some social media activities
  • Use of SurveyMonkey Board reports

What you'll need:

  • Experience as an Executive Assistant/Executive Administrator/Administration Officer or similar role
  • A strong customer service ethic (internally and externally)
  • Understands the realities of working in a small professional office environment (MUST be prepared to be flexible in thinking, attitude and completion of daily tasks)
  • Effective written and verbal communication skills 
  • Excellent telephone manner
  • Uses initiative, suggest an improvement if something is not working
  • Able to liaise professionally with senior executive people
  • Experienced at planning and coordinating functions
  • Demonstrated experience dealing sensitively with confidential issues
  • Strong attention to detail and the ability to multitask and prioritise
  • Ability to work independently and as part of a team environment
  • Proficiency in Microsoft Office
  • Self-motivated, energetic with a great “can do” attitude
